Navigating The Job Market: Essential Documents and Requirements For Fresh Graduates and First-time Jobseekers

Congratulations on graduating your course! You've worked hard to get here and now it's time to step into the real world and find a job. However, before you can start your job search, there are a few essential documents and requirements you need to prepare. From government-issued IDs to academic credentials, these documents are crucial in proving your identity, qualifications, and eligibility for employment. In this article, we will walk you through the necessary documents and IDs you need to have in your files as a first-time jobseeker. 

Among the key documents you will need are your:

• Official Transcript of Records
• Diploma
• PSA Birth Certificate
• NBI Clearance
• SSS number
• PhilHealth number
• PagIBIG number
• Tax Identification Number (TIN)

In this article, we will delve deeper into each of these requirements, unraveling their significance, and offering valuable insights on how to obtain them efficiently.

1. Official Transcript of Records and Diploma

Your official transcript of records or diploma serve as concrete evidence of your educational achievements, verifying that you successfully completed your high school, college, or university program as stated in your CV. In most cases, employers do not require the original copy; a photocopy with an official stamp from your school is generally acceptable. These documents play a vital role in showcasing your academic qualifications and demonstrating your commitment to your chosen field. Make sure your copies are printed clearly and you have duplicates available during  your application or job interview.

2. Birth Certificate

When job hunting, it is important to have copies of your PSA birth certificate on hand. Get multiple copies as they also serve as valid IDs for other requirements. Do not forget to keep the application receipt too. 

Where to get: Order online at PSAHelpline.ph and have your PSA certificates delivered to you. When you order more than one copy of the same certificate, you only pay for one shipping fee. It will help you save time and money; while waiting for your certificates, you can work on other documentary requirements. If you are in Metro Manila, delivery takes 3 to 4 working days while deliveries outside Metro Manila take up to 8 working days.

3. NBI Clearance

The NBI clearance is a crucial document issued by the National Bureau of Investigation that certifies an individual's absence of a criminal record. If you are applying for an NBI clearance for the first time, it is important to prepare two valid government-issued IDs for you to present during your application. These IDs serve as proof of your identity and are necessary to complete the application process.

You need to get an appointment at your preferred NBI branch and you can do this by creating an account at the NBI clearance website. After you have created your account, follow the step-by-step process to get a confirmed online appointment. 

4. Social Security Number (SSS)

Your SSS contributions shall be deducted from your salary and this serves as a form of investment for your retirement. You may also utilize these contributions to get sick leave benefits, privilege for loans, and pension when you retire. 

The good news is you may now apply for an SSS number online. You may even submit your documents online through the SSS website! You only need to visit an SSS branch after an SSS number has been generated for you (in which case, you already technically have a temporary SSS number that you can submit to your employer), and only to submit the hard copies of your documentary requirements and to have your SSS number changed from temporary to permanent. 

5. PhilHealth Number

Obtaining a PhilHealth number is an essential requirement for employment, as it provides universal health insurance coverage. To secure your PhilHealth number and get an ID, you need to complete a PhilHealth Member Registration form (PMRF) and submit it along with other necessary documents. 

The PMRF serves as your application form, wherein you provide the required information for registration. Alongside the PMRF, you must submit additional document requirements to complete the process. These documents typically vary but may include proof of identification, such as a valid government-issued ID, and proof of employment or enrollment in an accredited institution.

As I write this, the Electronic Registration System of PhilHealth is down and visitors are advised to proceed to the nearest PhilHealth office to register. When you do, bring 2 copies of your 1x1 ID photos and two valid IDs (prepare photocopies of your IDs).

6. Pag-IBIG (Home Development Mutual Fund)

The Pag-IBIG Fund is a valuable resource for individuals aiming to acquire their own homes. Serving as the government's savings program, Pag-IBIG offers affordable housing financing options tailored for Filipinos with low to middle-income brackets. 

To become a member of Pag-IBIG, download a copy of the Member Data Form (MDF), fill it out, and submit your copy along with two valid IDs at any PagIBIG branch. If you are already employed at the time of your application, you may also need to present a copy of your Certificate of Employment.

7. Tax Identification Number (TIN)

As an employed individual, you shall be paying your taxes and you need a Tax Identification Number. Your TIN is a lifetime number that will be asked of you every time you apply for a job or even when you open your own business someday. Your TIN ID is a valid government-issued ID as well.

To get a TIN, download a copy of BIR Form 1902 (for employed individuals) and fill it out with your details. Submit this to the Revenue District Office (RDO) that has jurisdiction over the area where your company is located. You may also need to submit a copy of your PSA birth certificate when applying for a TIN. 

By securing the above documents and membership, you not only fulfill the requirements for job applications, but also gain access to various benefits and opportunities that area available for employed Filipinos in the country (or abroad, if you are an OFW). Remember to keep your documents safe and up-to-date, as they may also be needed for future endeavors.
